๐๏ธ Project Management Overview
All time scheduled and recorded in Workup is assigned to a Project and an Activity. Projects cover all the activities undertaken in a business allowing all time spent by employees to be recorded and analysed. Projects can by customer facing, internal projects or management projects such as Finance, HR and Administration.
๐๏ธ Creating a Project
Projects are listed on the Projects and Time-Projects page. Projects can be filtered by Owner, Company, Type and Status. You can create a new project by pressing the Create New button.
๐๏ธ Manage Project Activities
Project Activities are the high level phases of work that are undertaken on a project such as design, development and management; they are not low level todo tasks. All time recorded in Workup is allocated to a Project and an Activity. Activities should be created at the level/granularity that you want to record and analyse time.
๐๏ธ Manage Project Tasks
Project Tasks are the more granular level work items that are undertaken within a project, which would typically last anything from an hour to 2-3 days. It is designed to plan and track work items but not as a tool to track and bill time - that is done at the Activity level.
๐๏ธ Manage Project Resources
You can assign a project team to a project and then schedule time against those resources. This is most appropriate for Customer and Internal projects. For Management projects such as Administration, you don't necessarily need to assign resources and schedule time; you could just enter actuals on a timesheet.
๐๏ธ Monitor Project Status
The main Project page is primarily used for configuring the project and managing tasks and resources. A seperate Project Status page is used to monitor and track progress on a project. The Status is viewed by pressing the ststus icon on the Project list page or by pressing the Status button when viewing a project.
๐๏ธ Manage Project Time
The Schedule tab shows time scheduled to the project whereas the Time tab shows actual and billed time recorded against the project. You can see the actual time spent over the life of a project by resource and by activity. You can then select a specific week and see the actual time spent by activity and resource and day. This data is presenting data from the relevant resource timesheets. You can click through to see the details of a specific timesheet.
๐๏ธ Manage Project Schedule
Workup allows you to schedule time and resources to a project. This can be managed on the Schedule tab on the Project page for the project, although time can also be scheduled in a few other places in Workup.
๐๏ธ Manage Resources
Each User in the system is also created as a Resource which allows you to manage aspects of the user relevant to project resourcing and scheduling. Resources are listed on the Resources page and will list the key information about each resource. You can click through and see the resource's profile or view the Resource page which shows information about the resource, relevant to project resourcing and scheduling.
๐๏ธ Manage Companies
Customer projects can be associated with a Company. These can be created when creating a project or from the Companies page. Workup allows you to store information about any company associated with your organisation, eg customers and suppliers.
